The Opportunity

The Production Administrative Support role will be responsible for supporting targets consistent with client KPIs, internal goals and capacity utilisation by assisting the Production Supervisor to balance priorities, plan and control scheduling activities and support production.

The successful candidate will be responsible for providing the following outcomes:

  • Maintain positive relationships with key internal stakeholders
  • Respond to deadlines by prioritizing workloads appropriately
  • Produce accurate lognotes and Matter Artefacts in accordance with company procedure
  • Provide matter segment times in accordance with the client’s order types
  • Alert production to key events by making clear and precise notes as required
  • Ensure the on-time delivery of products by completing tasks within specified timelines
  • Demonstrate the ability to juggle multiple concurrent tasks
  • Produce high volume work without sacrificing quality

Primary Role Accountabilities

  • Reviews and edits production team availability
  • Provides sufficient information to achieve results efficiently and with minimal wasted effort
  • Manage emails in a timely manner
  • Alerts the Production Supervisor to bottlenecks and issues as they arise
  • Follows up to ensure deadlines and KPIs are met daily
  • Responds to Client Services team on priority and urgent orders, and coordinates same
  • Escalates urgent/priority requests and client complaints to the Production Supervisor or Client Services Team where required
  • Personally demonstrates the company’s Values and Behaviors
  • Scanning documents and setting tasks
  • Outgoing and incoming mail
  • General administration duties

Essential Work Experience, Qualifications and Skills

  • Experience in a high volume, structured work environment
  • Strong clerical and administration skills
  • Strong time management, planning and organisational skills

  • Intermediate MS Office Suite skills
